THE ROLE
The Office Administrator provides administrative support to our Executive Director, and the Board of Directors, manages office administrative functions for the entire team, and supports bookkeeping and HR functions. They are critical players in keeping the organization running smoothly. This role is about 20 hours per week with 1-2 days working in our office in Tukwila. This is a great opportunity for someone who is highly organized, self-motivated, and passionate about equitable access to justice for children.
MAJOR RESPONSIBILITIES
Office Administrative Functions

- Provides front office support including answering phones, greeting visitors, speaking with families and the public, managing mail and coordinating with vendors
- Maintains calendar for executive director and org-wide events, organizes and coordinates meetings, correspondence, board reports and expense reports for the Executive Director
- Provides logistical assistance for Board of Directors including meeting scheduling and planning, document management, project management, meeting minutes and email correspondence
- Works with contract accountant to track expenses, prepare reports, and process invoices
- Supports payroll, benefits and other HR functions including on-boarding new staff at the direction of the Executive Director
- Assists in the coordination, scheduling, invitations, meals, equipment, facility, registration, budget, billing and transportation arrangements for in-house and off-site meetings and events (except fundraising events)
- Supports the program team by managing physical file storage, processing program related invoices and mailing reports to parties when needed
- Supports continuous process improvement by streamlining processes and procedures
- Manages the office floor, including the purchasing and maintenance of all equipment, coordinating with IT consultants and other equipment vendors, ordering supplies, keeping office tidy and organized
- Provides additional administrative or program support as assigned by the Executive Director and Program Manager.
Team Collaboration
- Meet with the Executive Director weekly and attend staff meetings (Thursdays).
- Participate in annual fundraising event, and occasionally other commitments (e.g., DEIB training, staff retreat, etc.).
QUALIFICATIONS
- Two or more years as an Administrative Assistant or similar experience, preferably at the executive level.
- Strong interpersonal communication skills and ability to approach relations with staff and external partners with empathy, kindness, and professionalism.
- Ability to prioritize tasks and organize responsibilities to effectively address multiple simultaneous projects and manage deadlines.
- Strong work habits, problem-solving ability, attention to detail, administrative and organizational skills, and managerial skills.
- Ability to produce a variety of professional documents, including spreadsheets, letters, memoranda, reports, executive summaries, flow charts, and PowerPoint presentations.
- Ability to utilize, organize, and update databases.
- Demonstrated intermediate to advanced computer skills (Microsoft Office experience required).
- Self-aware, reflective, and able to build relationships with empathy and kindness.
- Cultural humility and awareness when working with diverse communities; understanding of systemic intersectionality, especially as it impacts families of color facing economic injustice.
- Proficient with Microsoft Office; Excel training is a plus.
- Commitment to Family Law CASA’s mission and values.
EDUCATION
- An associate degree, or any combination of education and experience, will qualify a candidate for this position. Education acquired outside of the United States is welcome.
LANGUAGE PROFICIENCY
- Ability to read, write and speak English with primary fluency is required.

COMPENSATION & BENEFITS
The starting salary range for this role is $64,000-67,000 annually for full-time (half-time is $32,000-$33,500). Salary increases are given each year. Medical, Dental and Vision, commuter benefits and retirement plan with 4% of annual salary contributed by Family Law CASA. Generous PTO policy starting at 12.5 days per year (for part-time), 11 paid holidays (prorated for part-time) plus 2.5 floating holidays of your choosing, and a fun work environment!
ACCESSIBILITY
Our office is accessible via elevator with wide hallways to reach our suite. Individual workspace for the Advocate Supervisor is available with space for a variety of mobility aids. Tour of physical office space can be included in the interview process by request.
LOCATION
Our offices are in Tukwila, WA near Southcenter Mall. It is about a 10-minute walk from the bus lines on Andover Park W, or the Tukwila Sounder train stop to our building with traffic lights and crosswalks at each intersection.
This position is a hybrid role with one mandatory day in the office; during on-boarding for first three months two days mandatory.
